 Region Administrative Assistant

 

RESPONSIBILITIES

• Attend Fall and Spring Board of Directors and Executive meetings
• Provides timely transcription and distribution of all meeting minutes
• Communicates to board meeting attendees in advance for key information and provides access to all necessary materials online, including a document summary of annual program reports.
• Prepare agenda for meetings per needs of region leadership.
• Maintains region Action Item listing and distributes before each meeting for follow-up.
• Updates the Ohio Region Policies & Procedures and Bylaws after approval by the board with ARD
• Updates and distributes the Ohio Region Staff Directory and Organization Chart on the region and division website – on a timely basis.
• Performs other duties as may be assigned by the RD from time to time
• Prepare and submit expenses vouchers to the Region Treasurer on a timely basis
• Support document management for the region by maintaining online records for region management, and others as requested.
• Once meeting minutes are finalized and approved by board, forward minutes and all relevant meeting documents in pdf format to RD
• Submit year-end report and budget by March 15, including any proposed changes to this job description.

REQUIREMENTS

A. Central Division NSP member in good standing
B. Ability to communicate across Ohio Region via appropriate electronic media
C. Basic use of Microsoft Excel, Word, PowerPoint, online resources such as Google Drive and generation/editing of Adobe pdf documents.
D. Understanding of document management and retention.
E. Held past patrol, section, region, or division leadership position or relevant work experience

Elections Coordinator
RESPONSIBILITIES

• Administration of the election process for the positions of Section Chief as detailed in the Central Division & Ohio Region Bylaws and Policies and Procedures.

The election process includes

o Voter and Region communications/announcements
o Identification of the electorate for elections
o Preparing ballot content and utilizing the appropriate medium (electronic or paper)
o Collecting and qualifying nominations, resumes and position statements for all Section Chief elections
o Provide Region Director with nominations, resumes and position statements for conference call with candidates
o Sending out ballot with resumes and position statements to electorate
o Ballot counting and identification of the election winners
o Present election results to the Election Review Committee for review and confirmation
o Presentation of certified election results to the Region

Director for announcement

• Prepare articles for The Downhill, the Region newsletter
• Prepare and submit expense vouchers to the Region Treasurer on a timely basis
• Submit year-end report and budget by March 15, including any proposed changes to this job description.

REQUIREMENTS

A. Central Division NSP member in good standing
B. Recommended but not required: Alpine Senior, Senior or Certified Patroller
C. Ability to communicate across Ohio Region via appropriate electronic media

OEC Administrator(ROA) Assistant

REQUIREMENTS

  • Must be a registered Senior or Certified Patroller, OEC IT or actively pursuing IT certification
  • Works with the current ROA to oversee the records and activities for all OEC instructors in the Ohio Region
  • Works with the current ROA to oversee the administration of the annual OEC refreshers and Quality Assurance requirements in the Ohio Region
  • Must have good organizational and administrative skills
  • Must be a team player as this role requires working closely with the Region Senior OEC Training Coordinator and the Region Senior Program Advisor
  • Assumes the role of Region OEC Administrator when the current Advisor’s term is completed

Outdoor Emergency Transportation  (OET) Assistant

REQUIREMENTS

  • Must be a registered Senior or Certified Patroller, Active Senior Toboggan Evaluator, Toboggan IT or IT mentoring
  • Works with the current OET Advisor to coordinate and administer all TES’s in the Ohio Region
  • Works with the current OET Advisor to maintain records and provide training and recertification opportunities for Ohio Region OET IT’s and OET instructors
  • Must have good organizational and administrative skills
  • Must be a team player as this role requires working closely with the NSP-C Snowsports Advisor and Senior Program Advisor to coordinate and administer Region events and training

Region Assistant Certified Program Supervisor

RESPONSIBILITIES

• Support Central Division Certified Program
• Serves as resource for Patrol, Region , Division and National Certified program
• Works with Division and Region Certified Program Supervisor
• Maintains communication with members
• Submits award nominations at Region & Division level
• Submits Downhill articles two times per year
• Gather, develop and disseminate information to Certified staff members, supporters, and Region leadership regarding the mission, programs, and services provided through the Certified program to the Ohio Region/Central Division membership
• Build and promote relationships between staff members and the NSP leadership at every level through proactive communications including articles, website, e‐mails and personal contacts
• Administer and review the Certified Manual to ensure timely updates as required to support the needs and structure of the administration of the Certified Program
• Collect and review applications for acceptance of new candidates to the Certified Program with Region/Division Advisor
• Manage, mentor and track the progress of the Certified Candidates who have been accepted into the Certified program
• Manage, mentor and track the refresher cycle of the Certified Staff members to ensure compliance with National and Division standard
• Ensure the organization and consistent administration of Certified qualification clinics in the Ohio Region
• Assist in the planning, organizing, promotion and administration of the annual Certified qualification clinic
• Ensure the application and administration of a consistent set of standards and quality controls to the Certified Program
• Serve as a resource to National, Division and Region leadership and staff as they perform assumed responsibilities
• Prepare and submit expense vouchers to the Region Treasurer on a timely basis

REQUIREMENTS

A. Central Division Certified Patroller in good standing
B. Ability to communicate across the Division and Region with the appropriate electronic media and has strong written and verbal communication skills
C. Organized with solid administrative capabilities, able to complete needed paperwork in accordance with established deadlines
D. Demonstrated history of leadership, has held patrol, section or region leadership position
E. Recommended but not required
Instructor or IT in related field (Skiing, Toboggan, OEC, etc)
F. Willingness to take over the role of Region Certified Advisor at the beginning of the 2018-2019 Season

Region Assistant Senior Program Supervisor

RESPONSIBILITIES

• Support Central Division Senior Program
• Serves as resource for Patrol, Region , Division and National Senior program
• Works with Division, Region Senior Program Supervisor and the Region Senior MSP-OEC Program Supervisor.
• Maintains communication with Region Senior Candidates
• Submits Downhill articles two times per year
• Gather, develop and disseminate information to Senior Evaluators, candidates and Region leadership regarding the mission, programs, and services provided through the Senior program to the Ohio Region Senior Candidates and Senior Evaluators
• Collect applications of new candidates to the Senior Program with Region Program Advisor
• Manage, mentor and track the progress of the Senior Candidates in the Ohio Region
• Ensure the organization and consistent quality of the Ohio Region Senior Evaluations.
• Assist in the planning, organizing, promotion and administration of the Senior Ski and Toboggan Evaluations.
• Ensure the application and administration of a consistent set of standards and quality during the Senior Ski and Toboggan Evaluations.
• Prepare and submit expense vouchers to the Region Treasurer on a timely basis

REQUIREMENTS

A. Ohio Region Senior Alpine Patroller in good standing
B. Ability to communicate across the Division and Region with the appropriate electronic media and has strong written and verbal communication skills
C. Organized with solid administrative capabilities, able to complete needed paperwork in accordance with established deadlines
D. Demonstrated history of leadership, has held patrol, section or region leadership position
E. Recommended but not required
Instructor, Toboggan IT or Senior Evaluator in related field (Alpine, Toboggan, OEC)
F. Willingness to take over the role of Region Senior Advisor at the beginning of the 2018-2019 Season
